Terms & conditions

Version 2.3 · Last updated 13 October 2026

These terms are the agreement between Beam SAS and the organisation that uses Beam. They apply from the moment a workspace is opened, through the trial and any subscription. The data processing addendum forms part of them; the privacy policy explains how we handle personal data for our own purposes.

1. Definitions

Agreement
These terms, the data processing addendum, and any Order Form.
Customer, you
The company or other organisation that opens or uses a workspace. The person who accepts these terms confirms they have authority to bind it.
Customer Content
Everything put into the Service by or for the Customer (messages, prompts, files, recordings, knowledge, instructions, agents, workflows, and data received from connected apps) and everything the Service produces from it, including Output.
Model Provider
A company whose AI models answer requests in the Service: Anthropic, OpenAI, Google or Mistral AI, reached through the OpenRouter gateway unless the workspace supplies its own key.
Order Form
A quote or order form signed by both parties, or the subscription chosen in the app's billing pages.
Output
What a model or the Service produces in response to Customer Content: answers, documents, presentations, spreadsheets, images, code, summaries, and actions proposed or taken.
Seat
The right for one named User to use the Service, of the Business or Business Premium type.
Service
Beam, the AI workspace operated by Beam SAS: chat, agents, workflows, knowledge search, integrations and the API, with their documentation and support.
Third-Party Service
An application, data source or server run by someone else that the Customer connects to the Service.
User
A person the Customer allows to use its workspace.
We, us
Beam SAS, a French société par actions simplifiée with its registered office at 106 avenue de Versailles, 75016 Paris, France, registered with the Paris Trade and Companies Register under number 953 048 345.

2. Who can use the Service

The Service is for organisations and their professional use. It is not offered to consumers: by accepting these terms you confirm that you act for a business or other organisation. The Customer's own purchasing terms do not apply, even if a purchase order refers to them.

Users may use the Service only for the Customer's internal purposes. The Customer is responsible for its Users, and for any affiliate it lets use its workspace, complying with these terms.

Where a workspace is provided through one of our partners, the partner's agreement with the Customer sets the price and billing; these terms govern use of the Service.

3. The Service

The Service gives the Customer a workspace for chat with AI models, agents, workflows, search over its knowledge, connections to its other tools, and an API. The product and its documentation describe what each feature does.

The managed Service is hosted in France. A self-hosted deployment on the Customer's own infrastructure is available under a separate written agreement, and these terms apply to it only as that agreement says.

We develop the Service continuously and may add, change or remove features, models and integrations. We will not materially reduce the core functionality of a subscription during a period already paid for. Features marked as preview are offered for evaluation and may change or be withdrawn.

Model Providers and Third-Party Services are run by others. Their availability and behaviour can change and a provider may withdraw a model; we offer a replacement where we reasonably can, but we do not guarantee that any particular model or integration stays available.

4. Accounts and access

Users sign in with a code sent to their email, or with Google or Microsoft. The Customer and its Users keep their sign-in methods, devices and API keys secure, and tell us at support@beamxp.com without delay if they suspect unauthorised access.

Workspace admins decide who joins, which role each person holds, which models and integrations are available, and the workspace's security and retention settings. Setting these is the Customer's responsibility.

The Customer is responsible for activity under its Users' accounts, except where it results from a failure of our own security.

5. Trial

A new workspace starts with a 7-day trial: no payment card, every feature, up to 5 people, and a limited amount of model usage. Nothing is charged unless an admin subscribes.

When the trial ends, the workspace stays readable, so its admins can still read, download and delete what it holds, but chat, agents and workflows stop until an admin subscribes. The trial is provided as it is, without commitments on availability or support, as far as the law allows.

6. Subscriptions, fees and payment

The Service is sold per Seat, on one plan with two Seat types, Business and Business Premium, which can be mixed in a workspace. Prices are shown on the pricing page or in the Order Form, in euros and excluding VAT and other taxes, which are added where they apply.

A workspace is billed monthly or annually, in advance, through our payment provider, Stripe. Subscriptions renew automatically for the same period until cancelled. Seats added during a period are charged pro rata on the next invoice; Seats given back stay billed until the end of the period and can be taken again at no extra cost until then.

Each Seat includes model usage, within limits per person and per workspace that the app shows as shares used. When a limit is reached, a lighter model may answer until it resets, or requests may be refused until the next period, as the app explains.

Extra usage is off unless an admin turns it on. Once on, it is invoiced as a separate line on the next invoice, for the previous calendar month, within the caps the workspace's admins set, at the rates in the Order Form or, failing one, at our rates in force, which we send to the workspace's admins on request. The amount used so far in the month is shown in Settings › Billing. Usage on the Customer's own provider keys is billed by that provider under the Customer's own agreement with it.

We may change our prices. A change applies from the Customer's next renewal, and we announce it by email to the workspace's admins at least 30 days before; a Customer that does not accept it can cancel before the renewal.

Invoices are due on receipt. If a payment fails, the workspace keeps working; after a grace period of 14 days, inviting new people is paused until payment succeeds, and if fees remain unpaid we may suspend the Service after notice. Late payments bear interest at the rate set by Article L441-10 of the French Commercial Code, plus the fixed indemnity for recovery costs that the same article provides, currently €40.

If the Customer believes an invoice is wrong, it tells us at legal@beamxp.com within 30 days of the invoice. Fees already paid are not refundable, except where these terms say otherwise.

7. Customer Content

As between the parties, the Customer keeps all rights in its Customer Content, including Output. We claim no ownership of it.

The Customer allows us to host, copy, process, transmit and display Customer Content only as needed to provide and support the Service: to store it, index it for search, send it to the Model Providers and Third-Party Services the workspace uses, run its agents and workflows, and show it to the Users allowed to see it. This permission ends when the Customer Content is deleted.

Beam never trains models on your data, and we do not use Customer Content to build our own product. Model Providers receive Customer Content under their API terms, which for the major providers exclude training on API traffic.

The Customer is responsible for having the rights and permissions needed for the Customer Content it brings into the Service, including personal data and content from Third-Party Services, and for that content being lawful. It should keep its own copies of Customer Content it cannot afford to lose.

We may use service data that contains no Customer Content and identifies neither the Customer nor any person, such as aggregated counts of feature use and performance measures, to operate, secure and improve the Service. If the Customer sends us feedback about the Service, we may use it freely and without naming the Customer as its source.

8. AI models and Output

Workspace admins choose which models are available. A request goes to the Model Provider of the model that answers, through the OpenRouter gateway unless the workspace supplies its own provider key or connects a model it hosts itself; the sub-processors page lists them.

Use of each model is also subject to its provider's usage policy, which the Customer agrees to follow: Anthropic, OpenAI, Google and Mistral AI.

Output is generated by AI models. It can be inaccurate, incomplete, out of date or similar to output produced for others, and it does not represent our views. The Customer reviews Output before relying on it, especially before any decision about a person or with legal, financial, medical or employment consequences.

Agents and workflows can act in connected applications with the permissions the Customer gives them: sending a message, creating a record, changing a file. The Service lets admins require a person's approval before such actions; the Customer decides which actions need it and is responsible for actions taken with its configuration and permissions.

When web search is on, search queries go to a search provider and content from the open web is brought into answers; we do not check that content. Where the Customer lets people outside its organisation interact with an agent or open a shared page, it tells them, where the law requires, that they are dealing with an AI system.

9. Acceptable use

The Customer and its Users must not use the Service to:

  • break the law or infringe the rights of others, including intellectual property, privacy and personality rights;
  • create, store or share unlawful content, including child sexual abuse material, content inciting violence or hatred, and harassment;
  • engage in any practice prohibited by the EU Artificial Intelligence Act (Regulation (EU) 2024/1689), or use the Service as, or as part of, a high-risk AI system under that Act without our prior written agreement;
  • make decisions with legal or similarly significant effects on people based solely on Output, without meaningful human review;
  • operate or monitor safety-critical systems, or for any purpose where a failure could cause death, injury or serious damage;
  • send spam or unsolicited messages, or impersonate anyone;
  • develop malware, attack any system, or gain unauthorised access to systems or data;
  • get around the Service's limits, safeguards or security, or those of a Model Provider;
  • probe, scan or test the security of the Service, or place an unreasonable load on it, without our written consent;
  • copy, modify, reverse engineer or decompile the Service, except as far as the law permits;
  • resell or sublicense the Service, make it available to third parties, or use it to build a competing product.

We may remove or disable access to content that clearly breaches this section, after asking the Customer to remove it where the circumstances allow.

10. Third-Party Services

The Customer can connect Third-Party Services through managed connectors run by Pipedream, through MCP servers, or with its own credentials. It authorises us to access each connected service on its behalf, within the permissions it grants, to carry out what its Users and agents ask. Stored credentials are encrypted, and a connected app can be disconnected at any time.

Third-Party Services are governed by their own terms between the Customer and their providers. We are not responsible for them, for their availability, or for changes on their side that stop an integration working.

11. Data protection

For personal data in Customer Content, the Customer is the controller and we are its processor. The data processing addendum applies automatically and forms part of the Agreement; a signed copy is available on request at legal@beamxp.com.

For the account, billing and service data we process for our own purposes, we are the controller, as the privacy policy describes.

12. Confidentiality

Each party keeps the other's confidential information confidential, uses it only to perform the Agreement, and shares it only with employees, advisers and subcontractors who need it and are bound by equivalent obligations. Customer Content is the Customer's confidential information; non-public information about the Service is ours.

This does not cover information that is or becomes public without a breach, that the recipient already had or develops independently, or that it receives lawfully from someone else. A party may disclose information when the law or a court requires it, after telling the other party where it is allowed to. These obligations continue after the Agreement ends.

13. Security, availability and support

We protect the Service and Customer Content with the technical and organisational measures set out in annex 2 of the data processing addendum, and may change them over time without lowering the overall level of protection.

We work to keep the Service available and to schedule maintenance when it disrupts least, but we commit to no level of availability unless an Order Form sets one. The status page shows the live state of the Service.

Support is provided by email at support@beamxp.com. We handle reported faults in order of their severity.

14. Suspension

We may suspend access to all or part of the Service when needed to stop a serious security threat, an unlawful use or a breach of section 9, or if fees remain unpaid after notice. We limit the suspension to what the situation requires, tell the workspace's admins and the reason without undue delay, beforehand where we can, and lift it once the reason is resolved.

15. Term, cancellation and termination

The Agreement starts when the workspace is opened and continues until it is terminated.

An admin can cancel a subscription at any time from the billing pages; it ends at the close of the period already paid for. When a subscription ends, the workspace stays readable, so its admins can download what they need or delete it, but chat, agents and workflows stop until it is renewed. We may delete a workspace that has had no subscription and no activity for twelve months, after telling its admins at least 30 days in advance.

Either party may terminate the Agreement if the other materially breaches it and does not remedy the breach within 30 days of written notice. If the Customer terminates for our breach, we refund the fees paid for the period after termination.

The Customer can also end the Agreement at any time, by deleting its workspace (the owner can, in Settings) or by writing to legal@beamxp.com.

When the Agreement ends, access ends and we delete Customer Content within 30 days, unless the law requires us to keep part of it. A workspace its owner deletes is deleted at once. Sections that by their nature should continue, including fees owed, confidentiality, liability and governing law, survive.

16. Warranties

Each party confirms it has the authority to enter into the Agreement.

Beyond what these terms expressly state, the Service is provided as available. As far as the law allows, we give no other warranty, express or implied, including that the Service will be uninterrupted or error-free, that Output will be accurate, or that the Service suits a particular purpose.

17. Liability

Neither party is liable for indirect loss, or for loss of profit, revenue, business, goodwill or data, whether or not it was foreseeable.

Each party's total liability under the Agreement is limited to the fees paid or payable by the Customer for the Service in the twelve months before the event giving rise to the claim.

These limits do not apply to gross negligence or wilful misconduct, to death or personal injury, to the Customer's obligation to pay fees, or wherever the law does not allow liability to be limited.

We are not liable for Output, for the acts of Model Providers or Third-Party Services, or for actions the Customer's agents and workflows take with the permissions it configured, except to the extent our own breach caused the loss.

18. Indemnity

The Customer defends and indemnifies us against third-party claims, including reasonable legal costs, arising from its Customer Content or from use of the Service in breach of section 9, except to the extent we caused the claim.

19. Changes to these terms

We may update these terms, for example to reflect changes to the Service, to Model Providers' terms or to the law. We announce changes by email to the workspace's admins and publish them here at least 30 days before they take effect, unless the law or a Model Provider requires a change sooner. A Customer that does not accept a change can cancel before it takes effect; using the Service after that date means accepting it. Price changes follow section 6.

20. General

  • Publicity: we do not name the Customer or use its logo in our marketing without its prior written consent.
  • Force majeure: neither party is liable for a failure caused by an event beyond its reasonable control within the meaning of Article 1218 of the French Civil Code, including failures of hosting, network or Model Providers that it did not cause.
  • Subcontracting and assignment: we may use subcontractors and remain responsible for them; those that process personal data are listed on the sub-processors page. Neither party may assign the Agreement without the other's consent, not to be unreasonably withheld, except that we may assign it as part of a merger, acquisition, reorganisation or sale of all or most of our assets.
  • Notices: notices to us go to legal@beamxp.com; notices to the Customer go to the email addresses of its workspace admins. An email notice is received on the next business day.
  • Order of precedence: an Order Form prevails over these terms for what it specifically covers, and the data processing addendum prevails on the protection of personal data.
  • Language: these terms are published in French and English. If the two versions differ, the French version prevails.
  • Entire agreement: the Agreement is the whole agreement between the parties on its subject and replaces earlier proposals and discussions. If a provision is found invalid, the rest remains in force; not enforcing a right does not waive it. The parties are independent contractors, and no third party has rights under the Agreement.

21. Governing law and disputes

The Agreement is governed by French law, excluding the United Nations Convention on Contracts for the International Sale of Goods. The parties first try to settle any dispute amicably; failing a settlement within 30 days, the courts of Paris, France, have exclusive jurisdiction.
